PRACTICAL GUIDE

Pay a China agency deposit from abroad

Match the agency, contract and payee, choose a supported payment route and trace a pending deposit before retrying.

THE SHORT ANSWER

Match the agency’s legal identity, contract and payee before paying a booking-linked merchant order. If your card is unsupported, agree a genuine platform checkout or a supported transfer to that company’s corporate account. Resolve any pending charge before sending another deposit.

PRACTICAL STEPS

Pay a China travel-agency deposit from abroad through its real merchant order

Start with a merchant order for your booking

Ask the agency for a genuine merchant QR or checkout tied to your booking. Open it and check the seller, service, amount and available card before authorising; a personal-transfer QR is a different payment route.

For your own booking, proceed only after the agency’s identity, the contracted service and the actual payee agree. If its merchant checkout cannot accept your card, request a genuine platform card order or a quoted transfer to the agency’s corporate bank account. If the agency cannot provide a verifiable route before its deadline, do not send the deposit to an employee or unrelated person to keep the booking alive.

Check the agency before choosing how to pay

Step-by-step instructions
  1. Ask for the Chinese legal company name, business licence/Unified Social Credit Code, travel-agency operating permit number, registered address and the contract/invoice entity. An English trading name, tour-guide profile or attractive website is not sufficient to match the payee.
  2. Use the National Tourism Supervision Service Platform public directory linked in the sources below: search the Chinese agency name and compare the operating permit number and entity. The official Heilongjiang guide gives this query route; the MCT warning also directs travellers to the national platform or its official 文旅之声 channel.
  3. If the directory will not open, use an official Culture and Tourism Department’s published agency information or the official 文旅之声 route to establish the same named entity and permit. A screenshot supplied only by the seller is not an independent match. If you cannot establish the identity, stop the payment and choose a verifiable provider.
  4. Check that the contract names that entity and the actual tour/service. Ask for the executed electronic contract’s unique verification code and its official checking route where that system applies. Verification of an existing contract is useful; do not assume every unexecuted quote or every small service is already in a national register.

Put the deposit, full cost and refund terms on the order

China’s 2026 model contracts provide relevant fields for the group-tour/service categories they cover, with use recommended from 31 March 2026. The electronic-contract standard has applied since 9 December 2023. Use these fields to check the agreement and the actual refund terms for your booking.

Use the first payment branch the real booking supports

BranchActions and conditions

Branch: 1. Agency’s Alipay merchant order or merchant-site QR

Exact next step: Get the checkout through the agency’s real booking account/site. Confirm order, legal seller, service and amount before selecting your own supported card; finish only the normal issuer verification.

A QR can open a transfer rather than a purchase. Stop if your card is unavailable or the payee cannot be matched, and request one of the alternatives below. Read the checkout and issuer fees before paying.

Branch: 2. Genuine booking-platform/card checkout

Exact next step: Ask the agency to issue the actual service order through the named platform it uses, then open the order in that platform and match the seller, booking and total.

Fee and recovery boundary: A random card link is not a verified platform booking. Check cancellation and dispute terms; card payment does not promise a successful chargeback.

Branch: 3. International bank transfer to the agency’s corporate account

Exact next step: Obtain the beneficiary legal name, corporate account, bank/address, SWIFT/BIC and any required intermediary/reference from the agency’s formal invoice. Ask your sending bank to confirm supported currency, required fields and the quoted total before authorising.

Fee and recovery boundary: Match the account to the contracting company. Agree who bears sender/intermediary/receiving fees and how short payment is handled. Do not assume an amount sent equals the net deposit received or that a transfer can be reversed.

If a named payment processor or platform collects for the agency, the order must identify that role and link the deposit to the same booking. An unexplained personal account or new bank details sent only in a chat are a stop condition; verify the change through the agency’s established official booking channel before paying.

Wise’s CNY transfer table lists no personal-account-to-business route. For an agency corporate invoice, obtain a supported transfer quote for that same corporate beneficiary or use its genuine merchant/platform order. Keep the real recipient and purpose; switching to an employee’s personal account does not resolve this restriction.

The linked Wise CNY transfer-route table was read on 13 September 2026; no publication date was displayed. Recheck it when the sending-account type, recipient type, currency or available route changes, and before obtaining a quote. A different current route must be verified for the same agency’s corporate beneficiary; it does not justify switching to an employee’s personal account.

Message to obtain the missing payment order

English: I am in France and need to pay the deposit for booking [reference/dates]. Please send the contract with your Chinese legal name, business identity and travel-agency permit number, plus the total, deposit currency/amount, remaining balance and cancellation/refund terms. Can you issue a genuine merchant QR or card order for this booking that accepts an overseas-issued card? If a platform/processor collects, please identify it on the order. Otherwise provide the same company’s corporate bank instructions and state who pays all transfer charges. I cannot pay an unrelated personal account.

Close the loop on funds and the booking

Step-by-step instructions
  1. Before paying, confirm whether the booking is merely quoted, held until a deadline or confirmed only after the deposit is received. Do not assume a pending payment extends the agency’s hold.
  2. If the wallet or bank shows pending, or your card was charged but the agency says unpaid, keep the payment/order references, timestamp, amount and currency. Ask the merchant/platform to reconcile that exact booking and the issuer/sending bank to trace the payment; do not immediately send a second deposit.
  3. After a completed charge or transfer, obtain the agency’s written receipt stating the amount and currency actually credited, the booked service and remaining balance. If fees caused a shortfall, resolve that specific amount under the written agreement before making any additional payment.
  4. If the payment was definitively rejected with no debit, or the booking expired before funds arrived, agree the cancellation/refund or new order before trying a different route. Keep the old and replacement order identifiers separate.
  5. For a refund, get the approved amount, deductions, reference and intended original payment route in writing. Follow the platform/issuer/bank status until the credit is completed; a refund request or seller promise is not money received. Arrival time, FX differences and recovery of transfer fees remain route-specific.

Keep the contract, legal company name, permit, payment deadline, amount and actual payee together. If one does not match, ask through the agency’s established official channel and pause payment until it is resolved. Payment-route and contract sources checked 13 September 2026.
